Position Overview:
We are seeking a motivated and detail-oriented Remote Virtual Communication Assistant to join our dynamic team. In this role, you will play a crucial part in facilitating effective communication between our clients, healthcare providers, and administrative staff. You will be responsible for managing correspondence, scheduling appointments, and ensuring that all communication is handled professionally and efficiently.
Key Responsibilities:
- Serve as the primary point of contact for client inquiries via phone, email, and chat.
- Schedule appointments and manage calendars for therapists and clients.
- Prepare, edit, and distribute internal and external communications, including newsletters and updates.
- Maintain accurate records of client interactions and appointments in our management system.
- Assist in the development and implementation of communication strategies to enhance client engagement.
- Collaborate with clinical and administrative teams to ensure seamless communication and service delivery.
- Provide clients with information about services, policies, and procedures in a clear and empathetic manner.
- Support the onboarding process for new clients, guiding them through documentation and initial assessments.
- Monitor and respond to social media inquiries and messages in alignment with company standards.
- Participate in regular team meetings and contribute ideas for improving communication processes.
Requirements:
- High school diploma or equivalent; bachelor’s degree in communications, healthcare administration, or a related field preferred.
- Proven experience in a communication or administrative role, preferably in a healthcare setting.
- Exceptional verbal and written communication skills.
- Proficiency in using communication tools and platforms (e.g., Zoom, Microsoft Teams, Slack).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- High level of empathy and understanding of mental health issues is a plus.
- Ability to work independently and as part of a team in a remote environment.
- Familiarity with electronic health record (EHR) systems is advantageous.
