NAA is seeking a Project Specialist to join its team! 

Overview:

The AdoptUSKids (AUSK) Project Specialist role provides administrative and programmatic support to the AdoptUSKids project including the leadership team, the team working with child welfare agencies (state, local, tribal, and territorial) and AUSK partners. The Project Specialist will support the efforts of the AdoptUSKids project, through a variety of services such as webinar/meeting support, administrative functions, quality assurance, and data maintenance. The Project Specialist must feel passionate about working in a collaborative with different partners dedicated to improving the child welfare system. This position will also provide back-up customer service to our Spanish-speaking families.

Education and Experience: 

  • Bachelor’s degree in nonprofit management, social work, business administration, project management, or related field preferred.
  • At least 3 years of related high-level administrative experience.
  • Prior non-profit or child welfare experience preferred.
  • Bilingual (Spanish) a plus.

  • Proficiency in office and project management software and tools such as MS Outlook, Word, Excel, Teams, and PowerPoint, Zoom, Google Workspace, Airtable or similar database system, and overall familiarity and comfort with navigating and learning new technology.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Results-oriented with a high attention to detail, ability to multi-task, and meet deadlines in a demanding, fast-paced environment.

Role and Responsibilities: 

  1. Administrative Support. Provide regular assistance to National Campaign and general project operations. Supports special projects and communications from partner teams as needed. Ensure a high level of customer service to internal and external partners.
  2. Data Coordination. Assist with the compilation of AdoptUSKids data as needed for the Data Dashboard, respond to requests from the Children’s Bureau, and other data shared externally. Assist with quality assurance to the project while utilizing Airtable as the data management tool. Provide support to the National Child Welfare Information Exchange team by assisting with the review of caseworker updates to the national photo listing narratives twice weekly.
  3. Event Coordination. Develop and monitor event workplan and logistics including virtual and in-person events (i.e., webinars, trainings, meetings, conferences). Provide webinar technical support. Prepare and distribute materials. Coordinate travel details such as flights, hotels, and catering/vendors.
  4. Communication. Maintain cross-collaborative communication and partnerships within the AdoptUSKids project to support the collaborative. Meet regularly with National Campaign Director to provide support and co-manage the speakers bureau, National Adoption Month, and Adoption Excellence Awards. Provide excellent customer service through logistical support to participants of events and initiatives.

Additional Notes

Work is expected to be performed remotely with the requirement of travel 4-6 times per year within the US to attend events and conferences. NAA conducts background checks on all employees. Occasional overtime (evenings and weekends) may be required. This position is grant-funded. Please note, NAA is currently unable to do business in the State of California.

Benefits and Compensation:

The Project Specialist salary range is $50,000-$60,000, commensurate with experience.
