Position Overview:
We are looking for an experienced and highly organized Administrative Manager to join our team and play a key role in supporting the day-to-day operations of our organization. This position will oversee various administrative functions, help streamline processes, and ensure the smooth execution of key programs. The ideal candidate will be proactive, detail-oriented, and able to collaborate effectively with leadership and cross-functional teams to improve efficiency and drive long-term impact.
Key Responsibilities:
1. Business Management:
Oversee daily operations, ensuring that all systems and processes run smoothly to support our organizational goals.
Manage office infrastructure, including supplies, equipment, and facilities, to maintain efficiency.
Develop and implement administrative policies and procedures to improve organizational performance.
Coordinate with vendors and service providers, negotiating contracts to ensure quality and cost-effectiveness.
Lead initiatives to streamline workflows and leverage technology to enhance productivity.
2. Administrative Support:
Provide high-level administrative support to the CEO, Board of Directors, and senior leadership, enabling informed decision-making.
Prepare, edit, and manage professional correspondence, reports, presentations, and documents.
Organize and maintain both digital and physical filing systems, ensuring data accuracy and security.
Coordinate meetings, manage complex calendars, and prepare detailed agendas and minutes.
Act as a liaison between internal and external stakeholders, ensuring smooth communication and information flow.
3. Financial Management:
Assist with preparing budgets, financial forecasts, and reports, providing insights to leadership for decision-making.
Monitor day-to-day expenses, ensuring adherence to budgetary guidelines.
Process payables and receivables, track payments, and reconcile discrepancies.
Collaborate with the finance team to ensure accurate financial reporting and grant compliance.
4. Human Resources:
Foster a positive and inclusive workplace culture that encourages collaboration and employee engagement.
5. Program Support:
Assist with the planning, execution, and evaluation of programs and events, offering logistical and administrative support.
Monitor timelines, budgets, and deliverables for programs to ensure successful outcomes.
Coordinate with program staff, volunteers, and external partners to facilitate initiatives.
Analyze program data and report findings to leadership with recommendations for improvements.
6. Fundraising and Donor Relations:
Support fundraising efforts by maintaining and updating donor databases, processing donations, and generating acknowledgment letters.
Assist with preparing grant proposals and donor reports.
Coordinate donor communications and organize events to enhance relationships and stewardship.
7. Compliance and Risk Management:
Ensure compliance with legal, regulatory, and funding requirements.
Stay informed on nonprofit best practices and new regulations, providing recommendations for improvements.
Identify risks and develop strategies to mitigate them.
Assist in preparing for audits, ensuring compliance with documentation and reporting requirements.
Qualifications:
Bachelor's degree in Business Administration, Nonprofit Management, or a related field; an advanced degree or certifications in nonprofit management, business operations, or project management is a plus.
At least 3 years of experience in administrative or operations management, ideally within the nonprofit sector.
Proven expertise in project management, overseeing complex tasks, and meeting deadlines.
Excellent communication skills, with the ability to interact professionally with staff, volunteers, partners, and donors.
Proficiency in Microsoft Office Suite and CRM platforms (preferably Salesforce), with the ability to quickly learn new tools.
Strong problem-solving and decision-making skills, with the ability to work independently and take initiative.
